Privacy policy

Effective date: October 29, 2026 · Last updated: November 2, 2026

This policy explains what information Her Prep Academy collects through our website, herprepacademy.com, and the Her Prep Academy app for iPhone and Android, why we collect it, who helps us handle it, and the choices you have. We've tried to write it in plain English. If anything is unclear, email us at herprepacademy@herprepacademy.com.

1. Who we are

Her Prep Academy (“we”, “us”) is a basketball development program for female players, operated by AK Consulting in Martinez, California. We run the website and the app, and we are responsible for the personal information described here.

Contact: herprepacademy@herprepacademy.com · Her Prep Academy, Martinez, CA

2. What we collect, and why

We only collect what we need to train your player, run your membership and keep in touch with you.

  • Account information — the name and email address of the person who creates the account (usually a parent or guardian), and a password. Why: to log you in on the website and in the app and to send account emails (like password resets). Passwords are stored by our login provider in a form we can't read.
  • Player profile and assessment — the player's first and last name, grade, playing level and position, and her answers about ball handling, shooting, finishing and passing, plus the scores and focus area we calculate from them and the book and chapter our coaches assign. Why: so our coaches can place her in the right part of the program.
  • Videos and film (optional) — a shooting video, a game-film clip or a link to game film sent with the assessment, and the short (30-second) clips sent with a monthly check-in. Why: so coaches can see her play and give feedback. Videos are kept in private storage and are never posted publicly.
  • Training progress — which workouts and drills she has finished and when, the days she checks in to the app (with her time zone, so her daily streak counts days where she lives), her weekly schedule (rest day and Recovery Days) and the Recovery Days she finishes, the book she is training in, and results she chooses to save on tracked drills (for example a mile time or number of makes). Why: to unlock the next workout, show her progress, and let coaches follow along.
  • Monthly check-ins and report cards (Premium and Elite) — answers about how the month went, what she's struggling with, the clips described above, and the feedback and report card our coaches write back. Why: to give personal coaching feedback.
  • Daily challenges — which daily challenges she finished, and any score she chooses to type in (only she and our coaches see scores). Nothing is recorded or uploaded. Why: to make training fun and keep her coming back.
  • Messages and questions — messages you send our coaches from the app's Help tab or our website contact form (with the name, email and, if you give it, phone number on the form), and questions you type to the app's Help assistant. Why: to answer you. See the AI assistant below.
  • Coach calls — when you book a 1-on-1 call, the name, email and time you enter on our scheduling page, and whether the call was included with your plan or paid for. Why: to hold the call and make sure it's covered by your membership or payment.
  • Camp and event registrations — the details on the registration form: the player's name, birthday or age, grad year, school and team, position, height and weight, GPA, jersey size, optional player phone, email, Instagram and highlight links, an optional action photo, the parent or guardian's name, email and phone, an emergency contact, medical notes or allergies, and the parent or guardian's typed signature on the camp waiver. Why: to run the camp safely, contact you, and share player profiles with the college and high-school coaches who attend (see the Camp Waiver).
  • Purchases and membership — your plan, whether it is a free trial, active or cancelled, renewal dates, paid coach calls and camp payments. Payments are handled by Stripe on its own secure pages. We never see or store your full card number. Why: to unlock what you paid for and keep accurate records.
  • Text messages (optional) — a mobile number and your consent, only if you tick the optional text-updates box (it starts unticked and isn't needed to join). Why: to text you membership updates such as when her book is unlocked. Reply STOP to stop at any time. See our Text Message Terms.
  • Email updates (optional) — your email address if you join our updates list on the website. Why: to send news about camps and the program. Every email has an unsubscribe link.
  • Information collected automatically — like any website, our hosting and database providers keep short-term technical logs (such as IP address, browser or device type and the time of a request) for security and to fix problems. The website and app store your login on your device (in browser storage or the app's private storage) so you stay logged in.

We do not use analytics, advertising or tracking tools. There are no ad networks, tracking pixels or data brokers on our website or in our app, and we don't follow you across other apps or websites.

3. Who we share it with

We do not sell personal information, and we do not share it for advertising or tracking. We use a small number of service providers to run Her Prep Academy. Each one only receives what it needs to do its job for us:

  • Supabase — our database, logins and private video and photo storage.
  • Netlify — hosts the website and our server functions, and stores Help messages, coach news and coach-call credits.
  • Stripe — payments, subscriptions and billing.
  • Calendly — scheduling 1-on-1 coach calls.
  • Twilio — sends text messages to families who opted in, and alerts to our coaches (for example, that a new assessment is waiting).
  • Anthropic — the AI model behind two features: suggesting a starting book from a player's assessment answers (without her name, email or phone number; a coach always makes the final decision), answering questions typed to the app's Help assistant, and drafting the daily challenges our coaches approve (no player information is sent for that).
  • Google — a private Google Sheet our coaching team uses to review assessment results and camp registrations, and the fonts used on our website and app.
  • Kit — our optional email updates list.
  • Our email provider — delivers account emails and occasional emails from our coaches to members and camp families.
  • Apple and Google — distribute the app through the App Store and Google Play. They may collect information under their own privacy policies when you download the app; we don't receive your App Store or Google Play account details. On iPhone, the app checks your App Store country only to decide which membership options to show.
  • Content providers — some drill videos play from YouTube (privacy-enhanced mode) or Vimeo, and our website loads some photos from Pexels and a code library from jsDelivr. Like any website content, these services receive your IP address and browser details when they deliver it.

Mobile numbers and text-message consent are never shared with anyone for marketing; they are only used by Twilio to deliver our own messages. Camp player profiles (name, grad year, school, team, position and similar) are shared with the coaches who attend our camps, as described in the Camp Waiver; we never share a player's phone, email, address, birthday or medical information with them.

We may also share information if the law requires it, to protect the safety of a player or member, or if Her Prep Academy is ever sold or merged (in which case this policy would still apply to your information).

4. Children's privacy

Our players can be as young as 8. Because of that:

  • Accounts for players under 18 are created and managed by a parent or guardian. The parent or guardian signs up, starts the membership, fills in the player assessment and controls the account. A player who is 18 or older may create her own account.
  • We do not knowingly let children under 13 create their own account or give us information without a parent's involvement. If we learn that a child under 13 has given us personal information without a parent or guardian, we will delete it. If you think this has happened, email us.
  • What we collect about a child is only what's described above and needed for training: her name, grade and basketball details, her training progress, and any videos, check-ins or messages the family chooses to send. We don't show ads to anyone, and we don't make a player's information public. We never use a player's videos, photos or information for marketing or social media without written permission from her parent or guardian. Camp photos and videos are only used as described in the media release in the Camp Waiver, which a parent or guardian signs, and you can ask us not to post your player.
  • For players under 18, a parent or guardian is included in all coach calls and can see all messages between the player and coaches. We keep a parent or guardian's name, email and (optionally) phone, and email them a copy of every message she sends to a coach and every coach reply, check-in feedback and report card, plus every coach-call booking and a reminder. A parent or guardian joins every video call with a player under 18. A player who is 18 or older and manages her own account chooses whether to include a parent. See Safety & privacy for parents.
  • Parents and guardians can review, change or delete their child's information at any time. Most of it can be seen and changed in the account; to see everything we hold, correct it, stop further collection, or delete it, email herprepacademy@herprepacademy.com or use Delete account in the app. We will verify that you are the parent or guardian on the account before acting, and respond within 30 days.

5. The AI assistant

The app's Help tab has an assistant that answers questions about the program, the app, memberships and camps. When you ask a question, we send the question and the last few messages of that conversation to Anthropic, which generates the answer. We don't send your name, email or phone number with it, and we don't keep a copy of the questions — only a count of how many you asked that day (there is a daily limit). The assistant cannot see or change your account, your player's information or your payments; for anything about your account, it will suggest messaging a coach. Please don't type sensitive personal information into it. Anthropic processes these questions to provide the service to us; under its commercial terms it does not use them to train its AI models.

6. Your privacy rights

Everyone can ask us to:

  • See the personal information we hold about you or your player,
  • Correct anything that's wrong,
  • Delete it (see Deleting an account), and
  • Stop optional texts or emails (reply STOP to a text, or use the unsubscribe link in an email).

California residents have these rights under the California Consumer Privacy Act (as amended by the CPRA), including the right to know what we collect and how we use and share it, to delete it, to correct it, and to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined in the law, and we don't use sensitive personal information (such as a player's medical notes) for anything other than providing our services. You can use an authorized agent to make a request for you.

How to make a request: email herprepacademy@herprepacademy.com from the email address on the account (or tell us how to reach you). We may ask a question to confirm it's you. We'll respond within 30 days (45 days for some California requests, and we'll tell you if we need longer). We will never treat you differently, charge you more or give you a lower level of service for using your privacy rights.

7. Deleting an account

You can delete your account yourself at any time, on the website or in the app. It works the same way in both places and deletes the same information.

On the website (herprepacademy.com):

  1. Log in.
  2. Tap Account in the menu at the top of the page to open My account (or go to My Training → More → Delete account).
  3. Scroll down to Delete account and tap the Delete account button.
  4. Type DELETE in the box and tap Delete my account.
  5. You'll be logged out and see “Your account has been deleted.”

In the app (iPhone or Android):

  1. Log in and tap the round account button at the top right.
  2. Tap Delete account.
  3. Type DELETE and confirm.
  4. You'll be logged out and see “Your account has been deleted.”

Can't log in? Email herprepacademy@herprepacademy.com from the account's email address and we'll delete it for you within 30 days. See also our Support page.

What gets deleted: any active membership is cancelled right away so you are never charged again, and we delete the login, the player profile and assessment, uploaded videos and check-in clips, training progress and saved results, check-ins and report cards, coach-call records, Help messages and the book she was training in. Our coaches also remove her from the private Google Sheet they use to review assessments.

What we keep: records of payments (amounts, dates and plan) for as long as tax and accounting rules require — generally up to 7 years — and Stripe keeps its own payment records under its policy. If your player attended a camp, we keep the registration and the signed waiver for as long as needed for legal and safety reasons. Copies in our backups are deleted automatically as the backups expire. Deleting the account doesn't remove you from our optional email list or text messages — unsubscribe or reply STOP, or ask us and we'll do it.

8. How long we keep information, security and where it's stored

  • Retention: we keep account and player information while the account is open. If a membership ends, we keep it so you can pick up where you left off if you come back, until you ask us to delete it. Messages sent through our website contact form are kept so we can follow up, and you can ask us to delete them. Payment and camp records are kept as described above.
  • Security: information travels over encrypted connections (HTTPS), videos and photos are kept in private storage, and database rules make sure each family can only see its own player's information. Only our coaching staff can see members' profiles, videos and messages. No system is perfect; if a breach affects your information, we will tell you as the law requires.
  • Where it's stored: on the secure servers of the service providers listed above, which are based in the United States. If you use our services from outside the United States, your information will be processed there.
  • Changes to this policy: if we change it, we'll update the date at the top. For important changes, we'll let members know by email or in the app before they take effect.
